Special Administrative Assistant

Position Objective:

  • To perform a wide range of administrative duties for PETA Asia and coordinate other administrative tasks
  • To work on specific projects, as assigned by the Manager, to help promote the goals of the organization

Primary Responsibilities and Duties:

  • Answer phones and respond to questions and concerns from callers, transfer calls, check, relay, and remove messages from the answering machine, as needed, and provide timely, polite service to callers
  • Welcome visitors to the office, and interact professionally and diplomatically with people who contact the office
  • Respond in a timely manner to literature and information requests from the public
  • Promptly sort and distribute incoming post, and check faxes, responding as appropriate
  • Take and place lunch orders for the office daily
  • Take on Filipino correspondence including, but not limited to, making calls to Philippine media, writing Filipino advocacy copy, translating media releases from English to Filipino and/or proofing Filipino text, and performing research on Filipino materials
  • Handle and work with airlines, travel agents, printers, couriers, and other vendors
  • Maintain and update the celebrity, media, and activist databases Assist the Vice President, Manager, and Senior Campaigner with researching projects, completing in-house Internet forms, sourcing and purchasing props for demonstrations and photo shoots
  • Work with the Manager to ensure that office is kept orderly and that supplies are ordered and stocked, as needed
  • Help keep the office running efficiently. This includes drawing the supervisor’s attention to any problems and, when possible, taking action
  • Perform any other duties assigned by the supervisor


  • Knowledge of a variety of computer software applications (e.g., Microsoft Word, Outlook) required. Basic graphic design knowledge a plus.
  • Ability to establish priorities, organize tasks and meet multiple deadlines while under pressure
