Special Administrative Assistant or Manager

Position Objective:

  • To perform a wide range of administrative duties and coordinate other administrative tasks
  • To help manage the organization’s internship program
  • To work on specific projects, as assigned by the manager, to help promote the goals of the organization

Primary Responsibilities and Duties:

  • Answer phones, transfer calls, and politely, professionally, and diplomatically respond to callers’ questions and concerns
  • Check, relay, and remove messages from the answering machine
  • Promptly sort and distribute incoming mail and check faxes, responding as appropriate
  • Welcome visitors to the office
  • Coordinate some aspects of the organization’s internship program, including making flight arrangements, picking up people at the airport, and preparing orientation materials
  • Help manage the workload of interns and assist in acclimating them to the Philippines
  • Respond in a timely manner to literature and information requests from the public
  • Take and place lunch orders for the office daily
  • Handle Filipino correspondence, including making calls to Philippine media, writing Filipino advocacy copy, translating media releases from English to Filipino, proofing Filipino text, and conducting research on Filipino materials
  • Work with airlines, travel agents, printers, couriers, and other vendors
  • Maintain and update the celebrity, media, and activist databases
  • Assist the vice president, the manager, and the senior campaigner with researching projects, completing online forms, and obtaining props for demonstrations and photo shoots
  • Work with the manager to ensure that the office is kept orderly and that supplies are ordered and stocked, as needed
  • Help keep the office running efficiently, including by calling the supervisor’s attention to any problems and, when necessary, taking action
  • Perform any other duties assigned by the supervisor

Qualifications:

  • Knowledge of a variety of standard computer software applications (e.g., Microsoft Word and Outlook) required
  • Basic graphic design knowledge a plus
  • Ability to establish priorities, organize tasks, and meet multiple deadlines while under pressure
  • Excellent attention to detail
  • Ability to make sound independent judgments
  • Excellent organizational skills and a pleasant disposition
  • Demonstrated ability to take initiative and follow through
  • Willingness to engage in some outdoor work
  • Effective communication skills in both English and Filipino
  • Professional appearance
  • Knowledge of animal rights issues and campaigns
  • Commitment to the objectives of the organization
